Job Description Job Description Position Overview The Vendor
Account Manager oversees all aspects of vendor and subcontractor
relationships within the company. This role ensures all vendors
meet compliance, insurance, and safety requirements; verifies and
tracks invoices; and maintains accurate records for active
projects. The position supports operational efficiency by
coordinating closely with project managers, accounting, and
procurement teams to ensure vendors deliver quality, compliant, and
cost-effective services. Key Responsibilities Vendor &
Subcontractor Compliance Manage vendor onboarding and
qualification, ensuring all subcontractors meet company and
regulatory requirements. Verify and maintain up-to-date
certificates of insurance, licenses, W-9s, safety documentation,
and compliance forms. Monitor expiration dates for insurance and
certifications; coordinate renewals with vendors. Conduct periodic
compliance audits and maintain accurate vendor records in the
company’s management system. Ensure adherence to OSHA, state, and
local construction compliance standards. Invoice Verification &
Tracking Review and verify vendor and subcontractor invoices for
accuracy, completion, and compliance with contracts and purchase
orders. Match invoices to work orders, delivery tickets, and
project budgets. Track invoice status through approval, payment,
and closeout; resolve discrepancies promptly. Collaborate with
accounting and project management to ensure accurate job costing
and timely payments. Vendor Relationship & Performance Management
Serve as the primary contact for vendors regarding billing issues,
compliance questions, and documentation requirements. Monitor
vendor performance, quality, and responsiveness; document and
address performance issues. Support bid and proposal processes by
maintaining accurate vendor pricing and qualifications. Identify
opportunities to consolidate vendors, reduce costs, and improve
service reliability. Reporting & Administrative Oversight Maintain
organized records of vendor accounts, invoices, and compliance
documentation. Prepare reports on vendor compliance status, spend
summaries, and project support metrics. Assist in developing and
refining company vendor management and compliance policies. Support
project closeout documentation by ensuring all vendor accounts are
reconciled and finalized. Qualifications 1 years of experience in
vendor, subcontractor, or accounts payable management within the
construction industry. Strong understanding of construction
contracts, lien releases, and compliance documentation. Excellent
organizational and analytical skills with a high attention to
detail. Proficiency in Microsoft Excel and construction management
or accounting platforms (e.g., Procore, Viewpoint, Knowify, or
similar). Strong interpersonal skills and ability to communicate
effectively across teams. Preferred Skills Experience with public
works, infrastructure, or large-scale commercial projects.
Knowledge of construction safety standards and subcontractor
insurance requirements. Familiarity with retention, progress
